We are seeking an Admin Assistant (Large Healthcare Provider) to join our team! You will perform clerical and administrative functions in order to drive company success.

Responsibilities:

  • Draft correspondences and other formal documents
  • Plan and schedule appointments and events
  • Support primarily 2 leaders in this department.
  • Heavy calendaring (will manage 2 calendars), coordinate meetings, book conference rooms.
  • Expense reports processing through OneLink
  • Create/Modify PowerPoint presentations.
  • Create / help with department staff work schedule, send out the schedules and ensure coverage
  • Order office supplies, food / beverage, especially during meeting as necessary.
  • Assist on projects, generate reports as needed.
  • Must be proficient w/ MS Office Suite) Word, Excel, Outlook, PowerPoint, Teams)
  • Perform all other office tasks

Essential Functions:

  • Complete special projects/ad-hoc reports, including designing graphic presentations, as delegated by management.
  • Orchestrate and organize project meetings, schedules and materials such as agendas, timelines, reports and presentations.
  • Takes minutes.
  • May perform desktop publishing.
  • Use a variety of software to compose letters/prepares reports for executive/manager review.
  • Maintain confidential department files and records.
  • Maintain manager/executives calendar; arranges meetings, conferences and travel itineraries.
  • Screen telephone calls/visitors, refers to appropriate staff member.

Qualifications:

  • 3 years experience in office administration or other related fields
  • Proficiency in MS Word & MS Excel must be demonstrated through testing.
  • Word processing speed: 40 wpm required.
  • Ability to prioritize and multitask
  • Excellent written and verbal communication skills
  • Strong attention to detail
  • ​Strong organizational skills
