Job Description

Cultivarium is a Focused Research Organization with a mission to accelerate the adoption of new organisms for biotechnology. We are looking for someone who can contribute both individually and as part of a team to create tangible solutions for a 'moonshot' project. You will be part of a close-knit, driven team of scientists and engineers that are building technological infrastructure for the cultivation of non-model microorganisms, to open new avenues for science, technology, medicine, and agriculture.

This is an exciting opportunity for an Administrator or Executive Assistant with experience in the scientific fields. You will support the administration and day-to-day tasks for Cultivarium. A successful candidate will be a detail-oriented, critical thinker with strong organizational and interpersonal skills. The ability to proactively tackle tasks autonomously and build and maintain relationships, while thriving in a fast-paced entrepreneurial environment is a requirement. This is a full-time on-site position.

Responsibilities
  • Provide complex and dynamic calendar support for Leadership and team.
  • Manage respectful and timely communications for external and internal requests.
  • Receive and sort incoming mail and deliveries, manage outgoing mail, and answer and direct phone calls.
  • Oversee and/or support administrative duties ensuring the office operates smoothly, including managing the office budget, supplies, kitchen and other shared common areas.
  • Identify opportunities for process and office management improvements, plan and implement new systems.
  • Assist with organizing and planning meetings which includes, but are not limited to, preparing bios and agendas, researching background information, drafting and editing meeting materials, taking notes, and tracking and distributing action items post-meeting.
  • Partner with the team on project initiatives as needed.
  • Greet and manage guest visits as needed.
  • Demonstrate a commitment to diversity, inclusion, and cultural awareness through actions, interactions, and communications with others.

Qualifications
  • Bachelor's in science, communications, business administration, or a related field.
  • Exceptional attention to detail.
  • Strong organizational and time management skills with ability to prioritize.
  • Comfortable with analytical thinking and tools.
  • Must be a driven self-starter with an ability to identify and propose solutions independently.
  • Excellent communication and interpersonal skills - colleagues and peers often comment on the candidate's ability to build strong relationships across their organization.

Advanced Qualifications
  • Biological knowledge through formal education or work experience.
  • 2+ years of work experience in a bio-related startup or C-level administrative support and/or office management role.
