POSITION DUTIES
The Assistant House Manager is responsible for the day-to-day operations of one family's residences. This individual ensures the highest standards of service, cleanliness, and maintenance are consistently met. The role requires exceptional leadership, organizational skills, discretion, and coordinating with vendors, contractors, and other service providers. This person must be a team player, willing and able to do whatever it takes to provide seamless service in a quiet and professional manner, with excellent time management and communication skills.
Key Responsibilities
- Care for principal pets to include dog walking, vet appointments, trips to the groomer, and backup overnight dog sitting
- Regular communication with the principal to coordinate weekly schedules, and updates
- Maintain a fleet of family vehicles, to include car washes, fueling, service coordination, and new vehicle purchases
- Assist the Sr. Property Manager with acting as a Liaison and providing support to the staff.
- Coordinate food deliveries with private chef
- Ability to manage tasks as efficiently as possible while in residence to respect privacy and personal space
- Ability to maintain a flexible work schedule based on principal needs, including some nights and weekends
- Miscellaneous principal errands as requested by the family
- Moving of principal belongings between storage and residences
- Maintain and purchase household goods including groceries, supplies, linens, pantry items, and fine goods while ensuring quality and cost-efficiency.
- Maintain a client preference database
- Assist with maintaining a clean, organized, and presentable living environment for the client
- General assistance to Senior Property Manger to include miscellaneous errands and tasks
- Coordinate and manage potted plants and flower deliveries by vendor
- Accompany and supervise vendors at properties to assure security and privacy
- Build and foster relationships with business partners, and other employees.
- Attend periodic company meetings with the team and managers.
- Assist with family events & manage holiday preparations and decor while working closely with Director of Principal Services
- Maintain close relationship with Principal Services team members, including but not limited to - communicating principal requests, schedules, event preparation, meal coordination, and misc. tasks.
- Point person for coordinating provisions and concierge services at principal secondary homes. Requiring regular communication with local caretakers and occasional site visits to maintain standards. This includes working closely with the principals' team in Maine.
QUALIFICATIONS
Education and Experience
- Minimum 5–7 years of experience in private service or luxury hospitality.
- Proven ability to manage staff and complex household operations for various family properties.
- Exceptional organizational and communication skills.
- High level of discretion, integrity, and professionalism.
- Tech-savvy with proficiency in household management software and Microsoft Office.
- Valid driver’s license and ability to pass background checks.
Skills and Knowledge
- High regard and respect for privacy, maintaining a high level of confidentiality and discretion.
- Extremely detail-oriented, with strong organizational skills.
- Excellent listening, interpersonal, written, and verbal communication skills
- Strong time management, organizational, administrative, and prioritization skills given multiple priorities.
- Proactive and positive attitude, initiative-taking, self-directed.
- High value on safety and security, with training in OSHA and first aid/responder preferred (provided if not existing).
- Comfortable with being on your feet for extended periods of time.
- Reliable, flexible, and always maintain a professional appearance.
- Dog owner preferred or experience caring for pets.
- Comfortable working in a team centric environment.
- Proficient in Microsoft Office suite, Asana, and ADP.
- Experience with AI a plus.
Other
- Must be legally able to work in the U.S.
- Must have a current valid driver’s license.
- Must have good working vehicle with Insurance.
- Must agree to and clear a background and drug test prior to hiring and annually there after.
