Responsibilities
1. Calendar and Schedule Management
- Organize and manage executive calendars, scheduling appointments, meetings, and events.
- Coordinate across time zones for international teams or clients.
- Proactively handle conflicts and reschedule appointments as needed.
2. Email and Communication Management
- Monitor and respond to emails on behalf of the executive.
- Draft, proofread, and send professional correspondence.
- Serve as a gatekeeper, prioritizing messages and directing inquiries to the appropriate channels.
3. Travel Arrangements
- Book flights, accommodations, and ground transportation.
- Prepare detailed itineraries and handle last-minute changes.
4. Meeting Preparation and Support
- Organize agendas, presentations, and other materials for meetings.
- Take detailed minutes and follow up on action items.
- Arrange virtual meetings using tools like Zoom or Microsoft Teams.
5. Administrative Support
- Manage files, databases, and document organization.
- Handle expense reports, invoicing, and reimbursements.
- Conduct research and prepare reports or summaries as requested.
6. Project Coordination
- Assist with planning and executing projects.
- Track deadlines, milestones, and deliverables.
- Liaise with other team members to ensure projects stay on track.
7. Confidentiality and Discretion
- Handle sensitive information with the utmost confidentiality.
- Protect the executive’s time by screening requests and interruptions.
Qualifications
Education and Experience
- Bachelor’s degree in Business Administration, Communications, or a related field (preferred but not required).
- 3–5 years of experience as an executive assistant or in a similar role.
Skills
- Time Management
- Exceptional organizational skills to handle complex schedules and multiple priorities.
- Communication Skills
- Strong verbal and written communication abilities, including professional email etiquette.
- Tech Proficiency
- Expertise in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Familiarity with tools like Slack, Zoom, Trello, and Asana.
- Attention to Detail
- High accuracy in managing tasks, documents, and correspondence.

- Ability to anticipate needs and resolve issues proactively.
- Discretion
- Maintain confidentiality and handle sensitive matters with care.
