Job Description

Monroe Christian School in Centralia, WA is looking for one remote executive assistant to join our team. We are located on 901 L St. Our ideal candidate is attentive, punctual, and hard-working.

Responsibilities

1. Calendar and Schedule Management

  • Organize and manage executive calendars, scheduling appointments, meetings, and events.
  • Coordinate across time zones for international teams or clients.
  • Proactively handle conflicts and reschedule appointments as needed.

2. Email and Communication Management

  • Monitor and respond to emails on behalf of the executive.
  • Draft, proofread, and send professional correspondence.
  • Serve as a gatekeeper, prioritizing messages and directing inquiries to the appropriate channels.

3. Travel Arrangements

  • Book flights, accommodations, and ground transportation.
  • Prepare detailed itineraries and handle last-minute changes.

4. Meeting Preparation and Support

  • Organize agendas, presentations, and other materials for meetings.
  • Take detailed minutes and follow up on action items.
  • Arrange virtual meetings using tools like Zoom or Microsoft Teams.

5. Administrative Support

  • Manage files, databases, and document organization.
  • Handle expense reports, invoicing, and reimbursements.
  • Conduct research and prepare reports or summaries as requested.

6. Project Coordination

  • Assist with planning and executing projects.
  • Track deadlines, milestones, and deliverables.
  • Liaise with other team members to ensure projects stay on track.

7. Confidentiality and Discretion

  • Handle sensitive information with the utmost confidentiality.
  • Protect the executive’s time by screening requests and interruptions.

Qualifications

Education and Experience

  • Bachelor’s degree in Business Administration, Communications, or a related field (preferred but not required).
  • 3–5 years of experience as an executive assistant or in a similar role.

Skills

  • Exceptional organizational skills to handle complex schedules and multiple priorities.
  1. Communication Skills
  • Strong verbal and written communication abilities, including professional email etiquette.
  1. Tech Proficiency
  • Expertise in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Familiarity with tools like Slack, Zoom, Trello, and Asana.

  • High accuracy in managing tasks, documents, and correspondence.

  • Ability to anticipate needs and resolve issues proactively.

  • Maintain confidentiality and handle sensitive matters with care.
